Agree, I would try that first then send the letter if required.
I also agree but think that the letter should be sent anyway, with the OP keeping proof of posting.

Too many times I have been on the wrong end of idiot companies (usually banks) who do one thing on the phone and something totally different in reality. A written record is the swiftest way of ensuring that they correct their errors asap and you don't have to spend the next 4 months proving to them what idiots they are before they will believe you.
