Hopefully someone can help me with some info regarding the legalities of a payslip. I'm payed by BACS/PAYE, and my employer uses an online system for accessing payslips, however it has never worked for me. I have been through various attempts to fix the issue with both HR and IT, but neither can solve the issue. Now, 11 months in and I still have not been able to view a payslip, and they won't give me a paper payslip. Also the annual leave booking is on this system, but that's another issue.
Is it legal for them to give me the computer says no attitude and refuse to give me access to a payslip? I don't even know the tax code I'm on, and whether the correct deductions are being taken.

Not sure on legality of it but we had a system introduced and I had problems which our IT couldn't get their head around. I called the comapny that do it and they sorted it out.
What is the name of your system? It might be the same (I can't remember ours but would recognise the name if it's the same)

What happens to those employees who do not have access to a PC or are computer illiterate?
They can learn or be shown. If they are unable to learn how to click a few buttons then they are little use to a company.R0G said:
So the employee can access their payslips at work?
It would be unusual for an employeee not to have a log in / e-mail address. But that would all depend on the company.OP - does everyone have an e-mail address? Are you supposed to be able to log into this system from outwith the network?
I would be highly suspicious of not seeing payslips. It's quite important to see they are using the right NI number, right amount of tax paid and that you are receiving relevant expenses.
I work for a company who develop payroll software and we have the same online system.
Our HR/Payroll department are happy to supply us with actual payslips when requested although we can print them from this online system.

No it isn't legal. It's covered under section 8 of The Employments Rights Act.
Employment Rights Act said:
An employee has the right to be given by his employer, at or before the time at which any payment of wages or salary is made to him, a written itemised pay statement.
The HMRC reckon electronic versions are within the law but as far as I am aware this has never been tested in court; but this is beside the point in your case as they are failing to provide you with a payslip in any form.Jimslips said:

Yes, everyone has an email/login from the employer. I havent been able to login either on site or off site (VPN).OP - does everyone have an e-mail address? Are you supposed to be able to log into this system from outwith the network?

Dunno about the payslip issue, but a year or two back we had a warning letter from HMCE asking us to be careful if we were approached to have invoices by email.
Back then HMCE did not accept electronic transmissions and documentation as kosher.
Of course HMCE have since gone electronic in a lot of systems, but if it is not good enough for HMCE to allow electronic documents, why should MoP's accept them.
Ask them again for copies of your payslips (perhaps suggest that they are needed for some official purpose).
Even if not strictly required to provide them, ask youself why are they being reluctant to give them from a moral standpoint.

Thanks for the advice, waiting to hear back from them again now. Iv'e gone through the department admin so they are more aware of it now. Hopefully they will stop bleating the 'we're saving the world by not printing your payslip' BS.
The requirement is for the employer to produce a payslip to the employee in a form which enables him/her to retain the information which he/she is entiled to by law. This means it must be a hard copy or in a data format which he/she can convert to a hard copy (if necessary, independently of the company's system by copying a .pdf file to a memory stick).Accessing a company's system is not sufficient. The employee might have left and no longer have access to it yet have a payslip outstanding. Summary dismissal would be an obvious example of this.
IANAL but I am confident that the company cannot refuse to print one out if the employee is prevented from doing so (for example a by login issue). Their only defence would be is if the entire system went belly up and no employee nor the company itself could access it.
The company I work for uses electronic payslips and this year produced electronic P60s. I get an email from the external company that runs the epay system saying that my wageslip is ready (the email is sent to my personal email not my works email) and I then save it to my computer.
I opted out of the paper wage slip some months ago. I get weekly wage slips which was going unopened in a drawer
