UPDATE

I have spoken to the park manager today and he has been keeping a close eye on the thread...

The bottom line is there that there WILL be room for more cars. A reserve list is in operation, so please EMAIL me to be added. It currently stands at 8 people so if you want a guaranteed place then now is the time to do it smile

IMPORTANT

For those who are planning on "just turning up"...

The park WILL BE MARSHALLING the barriers, and WILL BE TURNING people away once the dedicated meet area fills. It's important to bear this in mind if you are thinking of travelling to VW from a reasonable distance away and your name is not on the list. You have been warned!

Due to the volume already, the rate of interest and the length of time until the event the car park are allocating a their own Marshalls on the entrance points. Once it our designated area (the upper quadrant wink ) fills, any cars they feel are part of the meet will be turned away. Yes, this sounds crude, but the car oark reserve the right to allow and deny access to anyone they please...

It will be the usual £1 an hour charging fee. And yes, in 2007's meet there were major issues when everyone decided to leave together, so a staggering departure would be the wisest choice.

Nearer the time I will re post all the information required for everyone smile

I agree with all the above, but this event is no different to any of the previous VW events. All of those have been formatted with lists, and all of those have gone fairly well. At the end of the day it is impossible to guage exactly who will be there and when, especially with inevitable last minute drop outs and requests.

Using an entry list system has never been done before as far as I know, so I can't see a need to do it for this. I would be amazed if any PH event turnout was accurate to any list preceeding it. I have asked the park manager about using a check list system for people arriving, but they are not prepared to do it, therefore, this is not an option. Similarly, they do not want a ticket entry system. Therefore it can only really be organised in this way.

As for the police, I wouldn't worry too much about them. VW is not a public road like Chelsea Bridge is. I for one will be using my show plate in the car park whilst stationary, and I know my car is road legal with sound tyres and a full water bottle. I can't see any reason for anyone to worry unless you know your car is not legit.

It is in essence a very simple concept, we (or I on behalf of us) have asked the park out of courtesy to meet on a specific date. They have said "yes". That's more or less it.

As said, best advice as with all these sorts of functions is to turn up early and you should be fine. If anyone has any idea's do feel free to throw them my way, I am more than happy to try and improve the way this is done. At the moment though I am just trying to work with what we have got to sort out a pleasant morning with friends and like minded enthusists smile

Diz.You say that VW is not a public road. But outside the park is.And when the gates close, its where people will park.I have done a few VW events. And each time its got bigger.I just think its out grown the venue. The last time with the police turning up,and picking on people with dodgy plates, was only the start for them to put a block on the event altogether.I admire the fact you are trying to (police)it as best you can and put a cap at 120.But how are you going to stop the hoardes that turn up?.Are you personally going tell them they cant come in?.Neither can they park on the road outside?.If so you have your work cut out fella.
wavey

I won't be having any involvement with allowing people in or out, or where people park... all I have done is contact the park, arrange a date and post it up on here smile What the park decide to do about numbers is up to them, but, they are at least aware and are happy to accommodate us. I have negotiated more space with them today, and they are more than aware that there "may" be extra cars turning up that are not on the list as such.

Police turning up is an inevitabilty as not only is this in the public domain but one would assume (I don't know but will find out) that VW will make them aware. As a result the police would then have a responsibilty to "provide a presence" because if something did happen and they had not taken steps to provide a presence they wouild be heavily criticised. You and I know that the meet will be smooth, but they don't, hence why there is always some sort of presence. How they run themselves is, of course, up to them.

At the end of the day the ingredients to this meet are no different to any of the previous meets. Surely it's better to have some sort of arrangement and be able to meet with minimal interruption than to have no arrangement and run the risk of being moved on. Like I have said, I am just the thread starter. If anyone has any better idea's, feel free to share them smile

Wasn't there a lot of talk last year about finding a different venue for the 'big' southern meets? Limiting numbers to 120 is very, er, limiting!
120 won't be the limit. The reserve list WILL be used, the amount will be dependant on the final number given to me by VW which will be nearer the time of the meet smile
