I have an Esso fuel card (through the Caravan & motorhome club) which gets me fuel at a reasonable discount (£1.295 a litre for diesel this week), the card is subject to certain t's & c's one of which is a maximum of 150 litres per day. The other week the forecourt cashier entered an incorrect amount which exceeded the limit, this got the transaction declined, when corrected it was declined again & blocked. The card company have no phone customer service, it's digital only (email), they said that this is the most efficient way to deal with things!
Today my card was declined again for 141 litres, all within their terms, so what is the legal standpoint for payment? I put fuel in my vehicle having the means to pay which didn't work, not my fault & nothing that can be resolved quickly (it took 4 days for the fuel card company to reply & unblock the card last time!) I have paid for the fuel with another card, but I'm a little pi55ed off as it's cost me an extra £13 & the fuel card is linked to my business account, the card I paid with isn't which is another faff.

How much do you pay them in order for them to provide you with this card?

My approach would be that if I’m paying for something I expect them to provide the service they’re offering. If it’s a freebie I’d just take it on the chin. Whilst you say you’re £13 worse off afaics you just haven’t got the extra saving that you would have if the card was working.

Is it run by Pump King by any chance? I had nothing but problems with them when I tried to set it up. Gave up in the end.

At the end of the day, you have two choices. Put up with it, or take your business elsewhere. Only you can decide how much hassle it would be in cost or time to go to a competitor. If they really want your business (is your name Eddie Stobart), they will refund you. If they're not that bothered, they won't.

What is most efficient for the company is often not most efficient for the customer.

Yes it's Pump King, to be fair, once set up it has worked fine for the last 5 months, it means not having to worry about the forecourt price as you pay the same price regardless.
I've looked at other fuel cards but most have minimum spend (not a problem lol!), but the Esso option works for my journeys.
I actually posted the op before I'd finished it, my real question is having filled the tank with fuel & having the requisite means of payment, what is the legal situation when the card is declined (incorrectly) if you have no alternative means of payment with you at the time?
I have often gone to the garage with just one card in my pocket on a Sunday morning, fortunately today wasn't one of them.

You haven't committed the offence of theft as you don't intend to permanently deprive the station.

When I worked in a petrol station we'd ask if they could phone anyone else to pay over the phone, if not we'd fill out a form for them to bring payment within seven days or it would go to debt collectors.

They make you fill in a form of some sort. Happened when I filled my car and my bank card wasnt in my wallet. Right red face.
