As title we have amusement equipment out on sites (pubs) and we want to be able to input on the computer a site list and when clicking on said site it shows what machine they have what they’ve had previously and any paperwork associated with that site

Any ideas what software can do that?

I'd be interested in something like that too. Between my son's business and mine, we've probably got around 400 coffee machines out on hire/rental. Xero manages the business side of things but not the physical record keeping.

I'm all ears for any suggestions.

Back in the late 80's my first job in the computing industry was with a software house that developed a system exactly for this; AMASS it was called - Amusement Machine Accounts and Stock System.
It could/would track vending machines, fruit machines etc; what sites (pubs, clubs) they located at (even down to the position of the machine within the pub itself), plus other stuff to do with revenue each machine took (profit vs location analysis etc). We had some big customers at the time (big brewers and managed pub chains as they were).

I'd be really surprised if something similar does not still exist to this day.

My business operates in the north east (Newcastle office) and my son's is based Glasgow/Edinburgh.

There must be myriad asset management apps out there that can do this. Pretty much any CRM system will allow you to store docs against a customer too.

It wouldn't take long for a software developer to write a totally bespoke one either or adapt something they already have (eg. it's what I do for a living).

At the other end of the scale as already mentioned you could do it in Excel.

All depends on your budget and exact features required.

Sounds like you mostly need a simple asset tracking database rather than complicated software. A lot of small operators solve this with something like Airtable or even a well structured spreadsheet where each site is a record and you attach notes, machine details, and documents to it. When you click the site name you see the history and paperwork. If you want something more structured there are also basic field service tools that track equipment by location, but honestly for a setup like pubs and machines a simple database style tool usually works better and costs almost nothing.
