Expenses problem (not the same as the one below)

Evening all. I've got a bit of a problem with work (supermarket).
Since January I have been doing the fuel survey, driving around to the local petrol stations and recording the price. I do this twice a week, its 10 miles a time.
For my troubles, I get a hour off work and petrol money (35p a mile).
Its not written into my contact or anything, just an agreement between me and the managers (my manager can't claim expenses, were I can).
Around four months ago I was told that I needed to put a claim in for my expenses, it was around 8 weeks worth. I went a couple of times to try and find the manager who dealt with it, but due to my hours, we kept missing each other. I said I would pop in on my day off to get it sorted (when said manager would be in) to be told she was in a meeting all day.
As we kept missing each other, I finally got to see her a few weeks later, around 13 weeks worth of expenses.
After a bit of uming and ahing, they said they would do it despite it being a lot to claim, and in the future I would need to do it monthly.
I missed the deadline for pay day three months ago, so told it would be paid last month. It wasn't. Spoke to the manager, who said she didn't deal with it anymore, and it was someone else. Spoke to her, who said she didn't know how to do it, and would get back to me. She didn't.
Finally told to wait to see if it comes in last weeks wages, it didn't again.
I spoke to the manager today, who said because it was a large amount, they won't pay it.
I'm now owed expenses for 33ish weeks (again we kept missing each other, one manager went off sick for a bit, the other didn't know how to do it).
They are now saying that I'll have to put a claim in once a week claiming for two weeks at a time and see if it works that way.
To me this is unreasonable, I'm owed around £230 (if I've worked it out right), its a months worth of fuel.
The only time I was told I need to do it in blocks of a month is when I went to put the 8 week claim in, but couldn't find anyone to deal with it.
Does anyone know what I can do? Really getting a bit annoyed of it all.

It would seem from your post that you were asked to do a job on certain terms and conditions and that your employer has failed to honour their side of the contract. I would convert this post in to a formal letter to my line manager and give them 14 working days to resolve the issue to your satusfaction. The letter would obviously be written in a polite and non-judgemental way at this stage. I would however copy it in to both the union rep and head office. If that fails to elicit the response you are after, write again directly to the Chief Executive, attaching a copy of your original letter.
You seem to be a victim of poor management, which is a shame as it is not necessary. Good luck!

Quite the contrary, the OP seems to have been asked on many occasions to put in a claim and didn't. People doing this is surprisingly common and it causes all sorts of problems such that it's far from uncommon to have a time limit on claims, the manager in question probably also has a limit on the amount they can authorise as well. You seem to be a victim of poor management, which is a shame as it is not necessary. Good luck!
If the OP had done what was asked when it was asked then not doubt it would have been paid. Failure to do that seems to be the cause of the problem.

So notwithstanding the circumstances, to me it seems that they agreed to pay him but haven't? That's not cricket in anyone's book!

Sure, it certainly sounds like there is the usual big company screw up going on, a local manager who doesn't really know what they are doing dealing with an accounts department who are sticking to a set of rules. It's a sort of 'six of one, half a dozen of the other' sort of situation, obviously the manager should speak to whoever they need to talk to and sort it out, but the problem is partly caused by not having claimed earlier.So notwithstanding the circumstances, to me it seems that they agreed to pay him but haven't? Thanks for all the replies. I'm on my break at the moment so can't answer fully, but just to clarify what WhereI said.

It was around 13 weeks worth that they sorted it out, due to sickness and me not being in when they were. Despite me being told they would be.
They said they would do it this time, but I would need to do it monthly from then on.
The store manager signed it all off and I posted it that day. I was a day late for three pay days ago, but should have got it last month. When I didn't they said to wait until the next pay day (last Friday). I didnt get it again, hense this thread.

If you are employed by a large company, don't they have a computerised set of policies that you can access to complete an expenses form? Even if you don't have access, the manager should.

We are a rather large store, don't know if that makes a difference? I'm not really sure what her job role is, they seem to swap quite often. I'm not a member of the union, would they still help? (Infact how do I go around joining? Might be worth it as I never planned to be here for as long as I have).

It is on the computer, but only two managers know how to do it (or so they say). From what I have seen, its an excel form, they fill in my name, employee number, car details, how many miles, what the reason was for etc, they print it, get the store manager to sign it, I sign it and it gets posted off.
I'll draft a letter to HR and get it sent off next week, my manager (who is really helpful) is back from holiday then, so hopefully I can get it sorted then. Moving departments on Tuesday though.
Not yet, person I was going to speak to went home sick before I got the chance, and I've been at another store training all of last week.
Spoke to my manager today, but as she is no longer my manager anymore (moving departments), I won't get to see her that often.
