What is company policy on these things? It should be laid out in the staff handbook or similar. I know when I was employed, there were specific reasons when I could claim and how much I could claim for. IIRC there are certain exemptions available as to whether tax has to be paid on the overnight costs repaid to the employee by the business. It all comes down to the purpose of the trip.
I know that when we had an overnight stay for a company bash, there was always a “sales meeting” preceding it so that the costs were tax deductible. The payment back to us would be reimbursed but to be tax exempt, there had to be a business reason.
Maybe check with an accountant to get the correct advice

t that gets in the way or limits. You need to check. HMRCs view will be that if you expect to be at a second location for more than two years and for more than 40% of your working time then it's claimable but taxable.
