Holding a shareholders meeting, ensuring legal compliance

Hi All, I will be shortly attending a shareholders meeting and wish to propose/table a motion??? ( sorry have no idea of the correct terms). Who do I see/take with me to ensure that its all done correctly ( ie leaves no scope for arguing after the meeting).Is this the job of an accountant, solicitor or???.
