Hi there,

I have recently completed a trip abroad to Denmark for Christmas in the company car which is provided with a fuel card. Usually private miles are charged at a standard 13p/mile, however as the fuel card didn't work on the continent we ended up paying for fuel on our credit cards.

The company still want me to pay 13p/mile for the trip, but I don't think that's right as the company aren't paying for the fuel.

Does anyone have experience in what I should be paying for my private mileage?

Car is a Kia Ceed 1.6 diesel estate (which I think I am paying too much private mileage for in the first place, but that's another battle)

Pay the 13p per mile and claim all the fuel costs back through expenses. Seems the fairest way.

HM Customs & Revenue rates:

If you claim the higher rates, then you need to submit a tax return (hint, you probably don't want to do that).

Edit: oops, didn't read your OP properly. I expect that there's a link from the hmrc site explaining exactly what should be paid though.

When I used to run a fuel card, in this circumstance I would bill back my personal credit reciepts through expenses and then pay the p/miles personal in the usual way.

It's up to your HR dept though I guess. But seems bonkers you would have to pay for your fuel and then pay them 13p/mile as well.

13p a mile is about right for a 50mpg car. If you paid for the fuel though why would you also pay per mile?! Just don't pay it imho.

Use the fuel card for your private vehicle to the same value that you paid for privately.

If this is not an option fill a friends car to that value and get them to pay you. I used my debit card by accident once on the company car. To avoid drama and delays in claiming it back just put the same in my own car on the same day. Simple.

Presumably the 13p includes a charge for the use of the car otherwise the employer would have to declare your non-charged use to HMCR who would tax the Benefit in Kind. Would seem logical therefore that you claim the fuel cost back and pay the 23p.
