we need to move away from the 'good old' Excel / Paper expenses system, so looking at our options. We are only looking at about 12 users at a max.

Ideally, something with OCR on receipt scanning, and even better bank statement reconciliation/import.

What is recommended by the PH collective?

I use Xero, but that's a full on accounts package so may be overkill for what you need.

I use Expensify to track work expenses. Reads the receipts fairly well and has powerful backend that I don't scratch.

We ended up with Rydoo (previously Xpenditure)

Generally pretty good, take photo of a receipt and it recognises the detail leaving you to verify and then submit. You can also forward receipts via email and it will process ready for you to check and submit.

Mileage re claim was the reason we chose it. Allows you to enter postcode to postcode or search by business name in some case. Doesn't require any GPS tracking to be enabled, can view Google map of route taken, auto calculates mileage and override as required.

Approval structure works well, between teams using simple hierarchy. Ended up asking Rydoo to renew the free trial quite a few times which they were happy to do, so much better than copies of receipts and a spreadsheet.
