HR / Payroll Systems
Discussion
You have just asked the HR/payroll equivalent of how long is a piece of string!
How many employees, what countries, how complex are the working patterns, what benefits are you providing, do you just want a basic system or do you want to include training records, case management (absence, disciplinary, grievance etc.), do you want to run your own payroll or feed to an outsource provider, are you replacing an existing system or starting afresh etc etc.
There are many other questions but those are some of the biggies, maybe drop a few bullets down and some of us may be able to help. Like others, my knowledge only really kicks in at the more complex level e.g. Workday, Fusion, Successfactors etc. So if it is a simple solution you are after others may be better placed to help.
It could be a big expense that you need to live with for years as your business grows, you may want to consider buying some specialist knowledge to help you determine what you need (my PH rates are very reasonable 😀).

Thanks guys, I realise there are a lot of variables... HappySilver, not sure we need anything too complex, its more a case of having something which ticks a few boxes that is integrated, will bear you in mind if that turns out not to be the case.

Our main demand is for a system to cope with 100+ employees, UK only. We need:
1. A payroll system, we have it outsourced at the moment and want to bring it inhouse.
2. An HR system that tracks training and employee performance.
3. A shift planning system, our shift patterns are relatively simple (team work 4 day weeks same hours each day) but their day off changes each week.
4. A team portal so they can access all the above.
Have spoken to and discounted the one hit just payroll or just HR specialists like Brightpay, and have spoken briefly with a few others (including Mitrefinch). Other than that I feel a little like we are pissing in the wind. Everyone I know who has a business of similar size has great experiences with the odd specialist but nothing good to say about the all in one providers. I guess we could end with a number of systems to do the various jobs I'm just surprised there don't seem to be any obvious contenders.
Please prove me wrong!
SelectHR/SelectPay will do 1,2, and 4 on your list.I think you will need to do 3 manually.
If you are thinking of implementing an integrated HR/Payroll system I would suggest trying to keep it as “off the shelf” as possible and tweaking your processes to fit the system rather than asking the providers to tweak the system around your needs. There are more enjoyable ways of burning £1000/day in “Consultancy fees”.

A bit small for the systems I am familiar with so I’ll let others comment on good systems they use.
My only thought is why are you bringing payroll in-house? I’m sure you have your reasons but given you will need at least two people fully competent to run this, as staff get a bit grumpy if you delay pay day due to your payroll person being sick or on holiday, it sounds a bit excessive given the size of the organisation. An external provider will reduce your risk and ensure you remain HMRC etc. compliant at all times. If you have had a bad experience I suggest looking at other payroll companies rather than bringing it in house. They can also advise you on what systems they prefer to interface with and what works well for other clients.

It really depends on the complexity/variability of your payroll. If all your employees get paid the same amount every month, starters/leavers are minimal i.e. it's all very straightforward then outsourcing is the right option. OTOH if you've got multiple changes each week/month then, given the amount of checking which will need to be done in-house by HR, you might as well do the Payroll bitMy only thought is why are you bringing payroll in-house? "Back of fag packet" calculations - outsourced payroll should be less than £5 per payslip. In-house will be anything up to £10per payslip.
£5 per payslip seems a tad steep, just for payroll. Maybe for a really small one where you are mostly paying setup costs but I’d expect about half that for 100+ employees with someone like Moore pay. I can certainly ask some contacts but I have a feeling the OP is going to struggle to find something that does all four. The companies I know of who claim to offer all four have usually bought in at least one of the modules, sometimes by acquisition, so you still tend to get “3 + 1” as it were, with funny batch transfers or similar going on behind the scenes.
22 years' implementing HR and Payroll systems here (mainly PeopleSoft... my customers like things to work... ;-))...
I would agree with other posters that say that for 100+ employees I certainly wouldn't recommend bringing payroll in house. The benefit vs the cost just isn't there.
What is the problem with the current solutions that you are trying to fix?

Thanks all.
We want to gain control of the Payroll as whilst base pay does not change that much we find there are usually a few small adjustments to make and going back and forth with a third party is a pain. From what I can see (admittedly I am not the one who will be doing it) most modern systems take a lot of the manual input out of it so it shouldn't be too onerous.....
Listening to you all and speaking with a few companies I think we need to knock the idea on the head of integrating a shift planner. Had a good chat about Mitrefinch earlier and have another call with a company our HR guy has arranged on Monday so we will try for a good HR/Payroll combined system.
Really appreciate the input, its very easy to not be able see the wood for the trees when dealing with something like this.

No problem, that feels like the right call to me.
I have seen good things from a company called Symatrix based in Manchester. It may be worth adding them to your list of people to chat with.
Symatrix are an Oracle and Salesforce implementer, so this might be a bit small for them.I have seen good things from a company called Symatrix based in Manchester. It may be worth adding them to your list of people to chat with.

We do our payroll in house, costly and sometimes very restrictive!
I have been (yesterday @3pm) referred to a software called Payroll Cafe...i know absolutely nothing at this stage about Payroll Cafe and I’m on a similar journey as the OP but I’ll ask the question:
Anyone else have any Payroll Cafe experience or knowledge?
