Has anyone done this? I assume with phones they let you have the new one first so you can transfer everything off it before you have to send the old one in?

No when I did it I exchanged old for new in the store and just set up my new phone from iCloud. I don’t know if there’s a facility to set up a new one from the old one.

This one will be mail order as all the shops are shut of course. I'd be surprised if they expected you to be without a phone for the time it takes to sort it out.

Ah sorry, I focussed on the transfer part of the question. In your case they’ll give you a gift card to use against the new purchase. In reality, you’ll generally get much more for your old product on the second hand market so it’s probably better to just buy the new one and set it up from iCloud then as long as you’ve done a backup to iCloud of the old one recently you can sell that anytime both before the new one comes or after.

Apple trade in values are < what you could get from selling it yourself.

I appreciate that, but there’s a limited market for selling it yourself at the moment. Rather than get involved with the eBay bearpit, I usually take them to CEX, but like the Apple shops, they too are shut.

Try Shpock, market place or similar. CEX would have a similar poor trade in to Apple and eBay’s expensive and can be be risky.
