Hi All.

We have 100's & 100's of boxes with client records we need to 'virualise' in an indexable online system.

Any recomendations of what software / vendor to do this?

Cheers! - J

It's all on paper and you want it archived away?

You'd need to hire a teenager/Pole and a scanner for one incredibly boring job hehe

Is it for interest only, or from a legal perspective?

If the former, then the Pole and the flatbed is the way forwards (just back it up)

If the latter, then the Public Records Office website might save you a few quid talking to shysters like me

Hi - it's for disaster recovery.

Legal & Compliance have said they'll be screwed if a 911 style hits our building.

I'm looking for an on-line system with the documant back-end being real-time replicated to our DR site.

Thanks- J

Do you have an eDMS already in place at all?

Quick, cheap easy would be something like Sharepoint Portal Server, which is good out to about a million documents and easy to replicate out to the DR site in itself. You'd have to take advice as to whether a scan of a document into SPS is legally the same as the document, but sufficient process ought to accomodate.

The alternatives like Documentum or Meridio may be ahem, a little more expensive, and full featured.

I would suggest going through the trade rags and find a nice big company to partner with in terms of on-line archiving and document storeage. Doing it yourself will be messy and heavily political if the worst ever happens. Much better to have a contract with a 3rd party who is liable for large sums of money if they screw up.

As to how about going about it; I don't know. Never been involved with a archiving project I'm affraid.

What requirements are there for retrieval, instant, 24 hour or more?

Just a tad - I put Documentum in my earlier post but removed it before posting!

Your first task is getting all the documents digitised - that's a big headache.

There's plenty of hardware/software solutions out there to help you - as suggested I'd approach a 3rd party independent solutions company to do this for you. They'll be able to find a number of solutions and propose the best one for you.

I'm afraid I work above this space, but sell similar solutions to bigger enterprises, so would be FAR too expensive.

Damn impressive software, a few clients of mine use it (mainly law firms) so all matters are available to all their offices right around the world.

As has been said this may be a little, but they might have a cheaper set of module to do the job, giving future expansion abilities if management suddenly change what they want to do.

That's a good shout. Already use sharepoint.

Is there an intergrated OCR package that works with PDF's in SP?

Hi James

I just tried to email you as a friend of mine has a company that does this kind of thing but your profile says emails are not permitted. If you're interested in talking to him then send me an email through my profile.

Cheers,

roadie.

Yes I am in this industry, the reason I'm on Pistonheads is to find out about Go-Carting for my 14 year old, looking for details on local gatherings. Midlands area.

On the boxes, I have been handling archives for many years, and got into electronic imaging of records for Granada, Balfour Beatty, Chubb and many other companies. We can handle and scan 20thousand documents a day. If you want to do it yourself, I can advise, or if you need our bureau to handle it let me know and I can take it further, oh by the way we also have a large box storage facility if you need it.

Good luck Rob
