excel buttons and macros

Morning all,
I need a form that a user can enter details into (just a name, name of a file, couple of other details) then click on a button and an email is auto sent to a designated recipient with the details from the form (but not the form itself)
tried to record a macro to do this but its not always certain that the user will have outlook open etc.
any ideas / suggestions?

i have a user list in excel and generate unique numbered emails to all users on a six month basis to request that they confirm back the email address is still live, or if not they are removed
