I'm not sure this is the right forum but it seems as good as any so I'll give it a go. We are working on a project abroad where we have a 40 or so staff who fly in & out at variable times. We need to track arrival & departure dates, associated visa applications & then extensions a couple of other tasks. It doesn't sound difficult but managing this on a spreadsheet is becoming very time consuming.

We don't need employee scheduling in the usual sense - we aren't trying to manage what they are doing. It's just the back office calender admin side that we are looking for help with. Single user would be ok, although it would help if three managers could access it. Windows or Mac is good, iPhone/Android access a nice bonus but not essential.

Can anyone point me at something that might be suitable, or might be easily configured to do what we are after.

You could use a lone worker package or similar.

Apologies if I'm missing something....

Wouldn't "Outlook" work? I use it for tracking my team//colleagues, my PA administers it all...even travel tickets are put into the calendar as attachments. You could either have shared calendars (eg "Finance", "North Division", "EMEA") or you could have all team calendars open simultaneously?

I'd second Countdown on this. If you can bend a mainstream off the shelf product to do more or less what you want then you can save yourself a lot of money and hassle.

Perhaps Google Calendars for Business? - https://www.google.com/work/apps/business/products...

More or less accessible anywhere from any device. You can share them between team members and attach files to meetings.

If you can work out a process which everyone can follow then it will be a step up from a shared Excel spreadsheet.

Thanks for the responses so far. The problem with using an Outlook type solution is that these people are not necessarily employees of the company, so the don't exist as part of the company email system. They're more like assets which need tracking than employees. I guess if we looked at something like Google Calenders we could create an email address for each of them but then that would come with a cost every month for another address. The internal mail system isn't really suitable - it's a small company with only four employees.

Sometimes finding an answer depends on using the right search term & so far I haven't found it.

We do this for projects with people in the hundreds, Excel spreadsheets do work effectively, with considerably more flexibility. It's really not that big a deal. Any bought in package will be a compromise.
