Hi

I've a growing business and have twice this month had an issue with different sales staff forgetting to bcc emails and effectively giving away all the contacts I've developed over years to other customers and suppliers. I've had the firm discussion, everyone certain it wont happen again but I'm a firm believer that human error creeps in from time to time and I know it will happen again.

We use google mail so how does everyone else manage this issue? Is there an app or extra layer of defense that can be added. I've imposed a temporary ban on staff sending full sales list emails unless another staff member checks for bcc but I know there will be some top tips on offer here.

Thanks in advance

Instead of gmail, why not use a dedicated CRM package - cloud based so you could set up logins for key staff and not worry about bcc's.

You could gain a lot more insight into who's reading your emails etc, and it would make follow ups easier?

E: something like CapsuleCRM

If they are sales email newsletters then use MailChimp or Campaign Monitor.

If I understand, you're trying to send out a mailshot and you want your staff to send it to everyone by bcc'ing them?

Dont bother, it's not a good use of Google's mail and you might not know how many people a) arent getting them b) arent even being delivered and c) what happens once it hits the recipient's mailbox

If you're going to mass update a load of people by email use an email service provider instead, someone's already mentioned Mailchimp, and there's a heap of others as well

Don't use Google use something like MailChimp that's designed to do this (and a lot more).

Bottom line is if humans are doing something they will fk up from time to time.
