I'm sure others have noticed the increased 'demand' for 'immediate' attention from others. I post a few things from my work as a letting agent for fun and to get a different perspective.

Todays issue was an email from a tenant today: and our reply to her today.

Subject: For your immediate attention: reference fees paid - reference required

To whom it may concern,

Following my discussion with both your offices this morning I am emailing regarding a reference I am waiting for from you as requested.

After a handful of phone calls and several emails - please see below - I am still awaiting my references. I paid the fees directly into your bank via bank transfer on Monday 2nd October. The referencing company however informed me yesterday that you told them I hadn’t paid yet (Tuesday 3rd October) - I called your office again and was informed this would be sorted however it still has not been.

Could you please give this your immediate attention and complete it today? Thank you. It is the only thing my partner and I are waiting for now and I am really not impressed at all as his letting agents returned the reference within an hour on Monday .

I look forward to hearing this has been completed and will call again later to follow up on your progress if I don’t hear back from you this morning.

Kindest regards,

Dear X

As confirmed the reference will be done this week. You may have noticed the increasing trend for people generally to want things immediately. To be demanded immediately. We have.

Unfortunately doing things immediately for everybody is not possible. We wish it were. Please allow a reasonable period of time for the reference to be done which will be this week. Please do not keep chasing us as this will only delay matters further. We have confirmed when it will be done by.

Kind regards

I would imagine they are just a bit anxious as they don't want to miss out on the next house, and they know it won't be confirmed until the referencing is complete.

You also charge for providing a reference, which even some of the big chain agents around here don't do. So I can imagine why they feel it should be getting your best attention.

Yes - I can see they may be anxious. but they have reserved another property whilst references are taken up.

We allow about 2 weeks for all references. Their reference questions only came in yesterday.

My gripe is she has demanded it immediately. My view is that most things take a reasonable period of time to do and should not be "demanded immediately" and cannot realistically be immediate as we are not just sitting twiddling our thumbs waiting to respond just for them.

Most agents here do charge tenants a reference fee. Many do nationally.

Again its something people in general (especially millennials) appear to expect, not only expect but demand. That's what I find annoying.

What a strange phenomenon, people wanting you to do your job in a timely fashion when your actions are holding up something important to them. What a difficult one to fathom.
Particularly when they are being told the delay is due to them not paying when they have.
Its a mystery. Why someone hasn’t headbutted you yet.

It's an email thing - I get it all the time. In days gone by when you wrote a letter it could take a week to get to the persons desk, now it's instant and people expect and instant reply. I'm not sitting around all day waiting for you to write to me!

I expect she's concerned that you will actually provide the references at all and is on your case to make sure they get done.

You have already demonstrated how disorganised you (your company) are by saying that she hadn't paid when she had. She has lost faith in your ability to do what you have been paid to do.
To you it may be a bit of an inconvenience having to provide a service you have been paid to do, but to her this is important and may be the difference between securing a property or not.

Out of interest, why does it take two weeks to provide a reference? Seems a long time to me, so it probably does to your customer too. If there is a genuine reason for it to take a fortnight, try explaining it to your customer rather than being patronising.

timely fashion? reference request received yesterday. told it will be done within 72 hrs 3 days. is that not in a suitable timely fashion?

Their funds were received yesterday as they were transferred on Monday pm after close of business hence not seen/received until yesterday.

smile love you too

A reference takes literally 2 minutes to complete, I am also shocked you charge for supplying a reference we certainly don't and would never entertain such a notion.

Clearly they are conscientious tenants, who don't want to lose their new home. fkwittery from Agents like you is what gives the rest of us a bad name, no wonder the Government are planning to ban Tenants fees.

She paid Monday pm after business hours which showed up yesterday, I had other things to do yesterday and today but will do the reference for her this week. smile

You have misread - we allow 2 weeks for references when we ask for references and hold a property for a tenant. ie we write off to other agents/landlords/etc So a property is held for 2 weeks pending us getting references back.

I confirmed to her we will respond to her agents within 72hrs so she is not loosing any property at all, just not an instant response but one I hope is within a reasonable time period.

Ah, got you. So two weeks allowed to receive refs, three days to send out.

only if you have nothing else to do.

don't know about you, but where you work but I have numerous of tasks to do each day often time dependant - they all get prioritised and done in order. A tenants reference is turned around in 72hrs.

So tell me Oh Great one - when you write off as an agent for a reference how long to you hold the property for waiting for a reference to come back? its going to be 1-2 weeks.

I would not dream to say what you should or should not charge for - its a free market and all that. Perhaps if you did charge you may be able to change the A3 to a RS6 wink

One that gets my goat is emails demanding a reply 'by return'. WTF. 'By Return' used to mean by return post, but exactly what is this time period for emails? Technically an auto-reply is instantaneous, which is a rather unrealistic timeframe to demanding anything more than just that. So why use a provocative demand for an instantaneous reply rather than a reasonable and meaningful date?

You want to try working in any kind of support role.

Complex technical queries are often followed up as little as fifteen minutes later with the likes of "Hello? Is anyone actually reading this? I have still not had a response!"

If you are charging for something, the least thing you can do it provide it promptly when paid.

My sympathy is with the tenant.

yes - we hold a property for a tenant whilst we take up references on them. We don't expect references to come back immediately so allow 2 weeks for replies. Yes I try to write them for others asap - the start/end of each month is manic with rent payments so 72 hrs is our goal - can be quicker if middle of month. Sadly not possible this time but it was the instant demand I take issue with.
