I'm involved in a small holiday park and work with the office and site staff. They currently run all their maintenance schedules on paper, a fault comes in and a paper form is filled out and is put in an inbox etc, really old school and although it works they need to move forward. Scheduled maintenance is done when they remember!

I'm looking for recommendations on a program they can use. Ideally needs to be able to have regular maintenance tasks scheduled in with reminders and alarms etc. Also the ability to enter a one off job and follow it through to completion, ideally the ability for the site team to update via their phones etc. Monthly reporting and updates etc

Also some jobs are chargeable, so need to be able to add parts and produce an invoice, they use Sage for accounting so an interface with that would be good.

It must be simple! Not too expensive, it is just a small team of 6 with a lady in the office.

Ideas please!

I was watching a cleaner in a ‘mall’ in Florida. After cleaning an area the lady scanned a barcode that recorded the job as complete. Just an idea to add to the mix.

After looking into this it appears I need CMMS software. All the ones I'm seeing are way too complicated for this very small business. Need something simple.

Thanks, something to consider, although their work is so varied, they don't really do repetitive stuff where this would work.

OP whereabouts are you based? My company has developed a bespoke ERM system which will do what you want and more, it's way overkill for what you need but we could potentially create a customized simpler version for you. My contact details are in my profile, get in touch if you fancy a chat. Even if we can't help we might be able to suggest a few off the shelf solutions that could do what's required eg. between Outlook and Trello for example you're not far off covering what you need.

I visited a potential new client last week who was a large lettings agent, and one of the systems he uses for managing his property, repairs etc was a website / app called Fixflo - https://www.fixflo.com - it allows the managing of jobs, contractors, parts etc, and end users can report problems directly.

I have never used this myself, or had any other experience of it apart from this guy singing it's praises, but he really loves it!

Might meet your needs, and looks to be a reasonable price too - £45 a month for the standard package up to 75 properties, then 45p per property after that.
