I normally use MS 365 & have an associated Exchange account & Outlook for my business email. For reasons I won't go into I have to access a POP email account which I'd like to sync across a laptop, desktop & my phone. It seems I can't just put the .pst on Dropbox or Onedrive as the file locking messes everything up.

Can anyone suggest a way round this? I suppose I could access via Gmail account but I can see replies might end up coming from odd servers.

Changing from POP isn't an option - it's an account provided by a client.

Many issues

How are you going to manage muliple devices acessing the POP account?

e.g. One device connects, collects the email then no other device will see it

Yes, as long as it’s a local or network drive.

You configure the clients to leave the mail on the mail server - I do it with a couple of accounts I have at the moment. The bigger issue is the time taken for the .pst file to update when Outlook closes in one place which can lead to corruption. I doubt I can achieve what I'm after though.

Please don't do it (PSTs at all ideally unless you're not fond of your data, definitely not on a network drive, and absolutely not on onedrive coming from someone who has spent a large chunk of his career designing / implementing / fixing Exchange deployments, they're truly awful), in terms of fixing your problem you can tell Outlook to deliver your pop mails into your primary (365) mailbox rather than the PST, which will then sync into your mailbox and to other connected devices.

Yes indeed, I realise I'm a bit stuffed. I need separate mailboxes to clients apart but I'll just have to focus the .pst on one device. As I say, it's not by choice I'm having to do this.

Won't something like gmail collect POP and can then be accessed as IMAP ?

I’m afraid I only read the heading. Wouldn’t recommend it of course but it can be done, though definitely wouldn’t for anything other than historic emails.

Getting perhaps over-complex ..

You could set up Google Mail (GMail) to access the client's POP account and then have other users access that GMail account via IMAP.

The gmail option depends on what's in the emails and what the GDPR situation is, it will be outsite of the organisation's IT policy. i.e. it may be stuff you don't want sitting in a random gmail account, that one random user has the details for.

Set outlook to deliver the pop emails to the 365 mailbox is the only real answer, if it needs to be separate create a separate one in 365 for the task

Thanks everyone. I may have to go to the extent of buying a separate 365 mailbox & pulling the POP mails into that as I don't really want them all over my main Outlook mailbox.

Minor rant time: when did it get so effin hard to persuade Outlook to create an .ost file where you want it rather than on the C drive in the users directory. I swear the idiot who wrote that bit of code was just being perverse.

You may be able to get away with a shared mailbox which does not require a license - not tried it tbh!
