Small airport/taxi company with multiple operators having access to company email accounts

Currently using 365 but as you can imagine it’s a bit of a issue Mail gets read and not actioned or actioned then marked as unread

Best way to setup 365 for multiple users and having a modicum of control over who does what or a suggestion for alternative software please folks

Open to most ideas

We run a mix of pc and macs btw

I'm not aware of much that can keep track of who did what with a shared "Sales" (or whatever) mailbox as a function of email.

Sounds like you're almost into a some kind of ticketing system.

I don't think any shared mailbox service will actually fix the issues, it's down to the staff and the process. If people are opening, reading and marking them unread and not actioning them that's where the issue lies.

There definitely needs to be an element of beating it into the staff but we currently just have 3/4 machines logged into all the seperate mail accounts,

I’m not familiar with 365s ability to share mailboxes and or track what staff member actioned or opened a mail

Potentially then someone’s job need to be call handler to allocate jobs from the box, rather than letting them do what they want, otherwise you’ll always get cherry picking, ignoring ball ache jobs etc

You can share a mailbox quite easily, it's just permissions and setting up access to the mailbox locally within your outlook profile. As I said earlier the issue is there is no way to track who is reading the mails and then not actioning them, there's possibly something tucked away in a log somewhere within the 365 tenant but you'd have to be pretty technical and have free time on your hands to review that.

It would be best someone owns the mailbox and hands out the calls.

Best is some kind of CRM that takes in email and creates a proper queue, making it clear which have been actioned and showing you the replies your staff in one place. Something like zoho, xero, salesforce, etc. Will likely cost less than a lost customer!

If it's a simple turn into an e-mail in a mailbox into a ticket (booking request) in a queue which all members of staff can see, reply to etc then something super cheap like Hesk (40 USD for a year) should do the job:

Or, you can pay $20 a month to have it hosted so setup should be easy
