We currently have Sage Line 50 V11.01. We need some additional functionality. I want to be able to store and create quotes, some of which will get accepted, some of which won't. The only fly in the ointment is that a lot of our work is installing building cabling and no two cable runs are the same, making standard pricing a pain. We do have standard items such as servers, switches, patch panes etc already in the system.

Is there a way to do this? Is it the job costing module we need?

Currently our quotes are prepared externally to Sage and only ever entered on the system if they are accepted. I need to get to a position where anyone (within reason) can create a quote, accept the job, print an order/jobsheet and then invoice the job based on the quote.

Help.

Sage support is your best bet - found them to be pretty good.

Would probably be cheaper to get the functionality outside Sage itself. We have front ends here for that sort of thing using Access XP Runtime with SQL 2000 backend. From the description would seem that you could do with "templates" so that quotes can be created with much information filled in.

Doesn't take much looking on PH to find experts at doing this ( ) who would of course spend any extra ££ on petrolheaded items

Send PM for more ideas..

They won't pay for Sage cover

I've built a PHP/MySQL add-on that does almost what I want, but I didn't want to have to re-invent the wheel if it wasn't necessary and I could buy the functionality off the shelf.

It's gone from a back burner project to something that's got to be up and running in a couple of weeks.

Is this a Dilbert like scenario where pointy haired boss says "resources are of course unlimited, as long as it doesn't involve spending any money" ?

Bespoke projects are good, it can increase an employees value
Good luck anyway !

Can't remember if V11 had it, but we are using V12 and it has a quotation module built in as standard. You can create a quote and when the time comes, either convert it to an invoice or mark it as a lost quote.

You can use the standard products you have entered to populate the quote and for any special or non standard items use the special product code S1 or S2 as appropriate to create a bespoke one off item that will not be added to your product list but will appear on the invoice/quote.

The 'special codes' are shown at the top of the product list when you are in the invoice or quote module only. They do not appear in your normal product listing.

I've noticed V11 has a quotes function since my bleary eyed first post. The only thing we seem to be lacking is the ability to create a jobsheet for the engineers from it.

If I could just find a way to include a memo field in an SOP I would be there.

Another question (I know nothing about Sage but I'm learning fast!)

When we cost a job there is a travel element. Is there a way to 'bury' it so the customer never sees it?

I would just include it in the overall cost if the customer doesn't need it itemised.

Well on the order details tab on both the SOP module and the Quotes module there is a notes area where you can add notes. Is that sufficient?

Afraid not... I was looking for a way to 'lose' travel costs across the entire quote. We can't easily apply a percentage as we travel all over the UK. Some jobs are low cost/high travel, others are local high cost jobs.

There's gotta be a way to do it, we're not unique in the service industry. I'm just damned if I know the right way to factor this in.
