Hi,

We were discussing in our business recently the best way to track potential sales leads and was wondering what kind of CRM systems you guys here use?

Our agency consist of just over 20 people with 5 of those people actively passing on leads to our guy who manage the sales side of things (including myself). We currently use a Kanban board in Jira and although its great to hold a history of the sales 'process', its no good for reporting or prompting followup calls/messages... we find alot of our diaries are full of reminders to call or email certain customers - which I do not feel is the best way of doing things.

So just thinking what do you guys use in your industry to keep up that customer relationship, both new and old?

I know software exists (SalesForce / Monday etc etc).., but would like to get some first hand experience from businesses using these tools before we commit to any subscription etc.

We use Copper but it is expensive.

I design Salesforce solutions for global organisations, so I’m about as far away from your type of business as it’s possible to be. But I’d suggest Salesforce isn’t for you even though it can easily do what you want. They tout that it is, but it’ll wind up expensive and way too configurable for you.

A lot of people are likely to post that Salesforce is st. It’s far from it, but it is enterprise level software that requires decent analysis of business processes, set up to reflect that, and proper training of users. Few of these thing are done right a lot of the time, which leads to a st solution for the user rather than the product itself being st.

It sounds like you're looking more for help in following up, rather than full-on CRM?

I've used Hubspot and Salesforce (enterprise) and Odoo CRM (smaller scale).

But for you, I'd suggest having a look at something like Apollo.io? It's positioned more to help automatically follow-up on leads rather than manage huge sales cycles like Hubspot/Salesforce. The free account is pretty useful for just finding contacts.

I have set up and used the following:

- Salesforce
- Hubspot
- Pipedrive
- Less Annoying CRM
- Monday
- Close.com


My far my favourite has been Close.com - it tracks everything (including calls) across the organisation in one place so you know exactly what is happening. You don't need to manually log a call or any of that nonsense. The "inbox" is simple and easy to use so all your sales girls and guys need to do is make sure the inbox is clear at the end of each day and they know they're doing their job right. It's also easy to set up. I love it!

The others (bar Less Annoying CRM) all make things way more complicated than they need to be and you either end up paying for tonnes of features you don't need or spend ages/loads of money setting it up.

I have used Zoho for a small organisation like yours.

Dead easy to set up and use, and surprisingly cost effective. They do a free trial so you can take a look and see if you like it.

How many leads we are talking about?
I rather invest in schooling and teach the staff how to convert leads into customers, email customers once in a while. Remarketing is the most effective way to get sales.
